Job Title: Account Coordinator - Ocean Exports

Reports To: Branch Manager

Summary: Key contact person for specific accounts to manage all their domestic and or international freight forwarding
requirements.  Coordinate with the customers, loading plants, carriers, vessel lines, air lines, etc. to ensure the most
efficient delivery to the final destination. Responsible for the timely and accurate preparation and release of export documentation
and customer invoicing.



- Receive booking requests from customers that contain loading and final destination information.
- Investigate schedules for the required mode of transport to match booking requests.
- Book truck, rail, intermodal, ocean, transload, and or air services to accommodate customer's shipping requirements.
- Prepare and forward  service contracts to customer indicating full shipment and rate details for all bookings.
- Send shipping/loading instructions to inland carriers and loading plants to expedite loading and transport.
- Track loads with inland carriers and shipping lines until product is loaded on the vessel and further to destination.
- Send shipping instructions to ocean lines - check and approve bill of ladings prior to release.
- Prepare Canada Customs documentation to facilitate the export of the product (CAED).
- Prepare U.S. Export declaration (AES)
- Prepare insurance certificates for shipments as required.
- Forward pre-advise information as required. Receive documentation from customer.
- Prepare remaining documentation. Compile and courier document package to the appointed receiver
- Facilitate foreign collections with the use of sight and terms drafts and documentary credits as required.
- Produce  invoice to customers. Produce invoice to vessel lines for commissions.
- Maintain  shipment summary report by customer.
- Record any service issues into the service log.
- Receive and approve all payable invoices. Forward to Assistant Manager - Operations to approve and pass onto the
  Accounts Payable Department.
- File completed shipments.



- 3 to 5 years (+) experience in international freight forwarding, specifically Ocean Exports, plus other modes
- Computer Skills - Word, Excel, etc.
- Accuracy,Time Management, Organizational Ability, Interpersonal Skills, Oral and Written Communication Skills
- Tact, Customer Relations Skills
- Relevant Industry education preferred

Work Environment - Within the Department

- Must work closely with the Pricing Department, Sales Department and Assistant Manager - Operations to communicate
  pertinent customer information/requirements.
- Must update  Account Manager (Sales) on any issues or developments within the accounts.

Outside The Company:

- Must communicate effectively with suppliers to facilitate the seamless movement of freight and the accurate and
  timely production and delivery of documentation. As the main contact person for our customers, must provide a high level of
  customer service.

Our client is a full service international freight forwarder and as such provides a diverse range of services to its clients - this position
requires a sound operational understanding of international freight forwarding. A sound knowledge of export trade lanes and
services by vessel lines sailing from North American ports is important in ensuring that the customer's product is transported
through the proper gateways for the most efficient delivery to final destination. A good knowledge of booking procedures is
important in ensuring that there are no problems or surprises with equipment availability, vessel space, or ocean bill of ladings.
A thorough knowledge of documentation requirements for each customer is essential - timely and exact documentation is the
crucial feature in ensuring that a shipment is expedited as per the customer's expectations - documentation problems can result
in lengthy delays on delivery of product and costly misapplication of customs and duty charges. A general knowledge of overseas
customs and delivery procedures is required to effectively ensure final delivery of the product and provide the customer with correct
information on the status of a shipment in transit.
